New TQP Data Submission Process - TQIP Annual Meeting Presentation (10/30/2025)

As we approach the launch of the new direct data submission pathway opening in January 2026, we want to make you aware of a session at the upcoming TQIP Annual Conference focused on how these changes may impact your data submission process.

Please plan to attend New Fields, Same Goal: Preparing for 2026 Changes on Saturday, November 8, in the Grand Ballroom at 10:00 am CST if you would like more information on this more modern approach to data submissions.

During this session, we’ll review specific updates to the data submission process and provide an advance look at the new reporting features designed to support those using the direct submission method but will also include information to assist those using the legacy method. We’ll also reserve time at the end for a live Q&A to address your questions.

For those not able to attend the session, we’ll have education available on our website in November providing step-by-step instructions for submitting data directly.

As a reminder, while the new pathway launches in January, the legacy method of manually uploading a file to the Data Center will remain an acceptable option throughout 2026.

Lastly, we’ve been in close communication with all known registry vendors, many of whom are actively testing the new process with us. However, if you’re unsure of the status of your registry vendor, we recommend you connect directly with them to confirm that their product will be ready to submit Admission Year 2026 data through either the legacy manual upload or direct submission pathway.

New TQP Data Submission Process — Update (09/22/2025)

This is your latest update on the new TQP data submission pathway launching early next year. If you missed previous emails, please visit our website, where we keep a record of each announcement sent regarding this transition. This latest update will provide you with a quick progress report on the rollout of this new method of data submission as we move closer to launch in January.

We are in active communication with each of the registry vendors interested in offering this new method of data submission in their registry products. There are a few vendors completing their own testing before rolling it out to their users and we’ve been pleased with the success of these test submissions. If you’re interested in testing this new process prior to launch in January, please reach out to your vendor and confirm your product will be compatible with this new feature and then ask if it will be available prior to the new year because you’d like to participate in our pilot. There is currently a good sample of pilot participants, but we remain open to adding more sites if you are interested.

Finally, we are in the process of revamping our educational content to reflect the two new methods of data submission (the legacy manual upload and the new direct method), as well as a few new reporting tools to assist you in verifying the quality of your data submissions. We will have more details on those new reports in future updates.

New TQP Data Submission Process — The New Call for Data (8/19/2025)

This is your latest update on the new TQP data submission pathway launching in 2026! If you missed previous emails, please visit our website, where we will keep a record of each announcement sent regarding this transition. In today's announcement, we're going to cover how the new direct data submission pathway will impact our usual Call for Data windows.

As you know, a participating TQIP center is expected to submit one quarter of data (and updates to previously submitted data that need correction) four times a year in the monthly Call for Data Windows. With this new direct data submission pathway, we encourage centers to submit their patient record as soon as they have finished abstraction. Centers that elect to follow this method will be submitting to our system on a much more frequent basis than they do when submitting in our usual quarterly Call for Data windows and receiving validation feedback much closer to the time a record is abstracted.

Due to this change, we have decided to slightly revise our Call for Data schedule for all centers. Instead of specific month-long windows, the Data Center will be able to accept submissions at nearly all points throughout the year. Instead of a Call for Data window, we will only have Call for Data deadlines that will be a single date when all records will be locked for report consideration at that specific time. While the nature of the Call for Data window will be changing, deadlines will align with the current Call for Data deadlines.

The new deadlines for 2026 are as follows:

New TQP Data Submission Process — How Often Can I Submit? (7/18/2025)

Dear TQIP Participants,

We're here with another update on the new TQP data submission pathway launching in 2026! If you missed previous announcements, please visit our website where we will keep a record of each announcement sent regarding this transition. In this email, we're going to cover two new benefits that this new pathway allows for: 

Flexible Data Submission Frequency 

  • This new pathway allows you to submit data directly from your registry product, so you can submit a record or group of records as soon as you finish abstracting them. There is no need to wait until a Call for Data deadline approaches to submit your data and hope that it passes the validator. With this new model, you can submit as soon as you complete abstracting and confirm that each record passes the validator.
  • This new pathway of data submission is also able to handle much more frequent submissions, and you'll be able to submit on an interval of your choosing. You can submit quarterly as you do now, monthly, weekly, daily, or even within subsequent 15-minute windows. There is no limit to how many times you may attempt to submit your data to us. Any validation errors that trigger are non-punitive, so there is no harm in submitting the same record multiple times to correct errors. 

Improved Process for Correcting Data Quality

  • Our hope is that users will start transitioning to more frequent submissions so that you can discover any validation errors earlier than you would have using the old quarterly Call for Data model. You can always edit any record you submit for to our system if you later discover the data was not an accurate reflection of your registry.
  • If you still prefer to follow the older model of waiting for the deadline to submit, our system will still support that.

If you would like to test this new data submission process prior to release in early 2026, please complete the pilot form below, and we will notify your vendor of your interest. Please note that it is entirely up to the discretion of your vendor regarding how they engage with pilot participants.

New TQP Data Submission Process — What Can I Submit? (6/18/2025)

Last month, we announced a new data submission process that will officially launch in January 2026. This direct data submission pathway should streamline and improve the data submission experience for your facility, enhance data quality, and lead to more timely data submissions. To view previous announcements regarding this transition, please visit our webpage. While the current manual upload process will continue to be an acceptable method of data submission, we can't guarantee this option will remain available beyond 2026. 

As we move closer to the official launch of this new feature, we wanted to provide you with more details on how this feature will work and what type of data you will be able to submit via this new pathway. If your registry vendor elects to make your product compatible with the direct data submission feature, they will provide instructions on how you can send data directly from your registry to the Data Center. You will no longer need to log into the Data Center quarterly, upload a file, and watch as it validates on the Data Center. Instead, you will have the option to upload a single record or multiple records at the interval of your choosing and, if it's compatible with your registry, receive the validation directly in your product. If you receive no validation errors, that data will automatically be stored in our database and will be eligible for inclusion in future benchmark reports. 

The types of standards acceptable for submission will not change with this new pathway. You can still submit TQIP, TQIP without Process Measures, and ITDX direct submissions using this new feature. In addition, admission years 2024, 2025, and 2026 will all be accepted by this updated process. So, if you need to make corrections to previously submitted data that was sent under the current model, you can send the data directly to us through your registry product, and it will overwrite the previously submitted data in our system.

As mentioned previously, we are currently piloting this new process with centers. Please note that it is entirely up to the discretion of your vendor for how they engage with pilot participants.

New TQP Data Submission Process Coming in 2026 (05/15/25)

We are excited to officially announce that starting in January 2026 we will be transitioning to a new data submission pathway that allows your facility to submit data in a timelier fashion, directly from your registry product. You will no longer need to manually create and upload your file to the TQP Data Center. With this transition, we expect the new process will streamline and improve the data submission experience for your facility, enhance data quality, and lead to more timely data submissions.

Prior to this announcement we have been working with all the known trauma registry vendors in the marketplace informing them of this change. They have been provided with the technical requirements needed to make this a smooth transition for your facility. However, please confirm with your vendor directly and make sure they are preparing your product for this transition in early 2026. If your vendor is not aware of the transition, please have them reach out to us directly and we will provide them with the technical requirements.

In the coming months, we will continue to send follow-up emails providing updates and revised education on how this transition will impact your facility. We have also set up a dedicated page on our website that will list all previous communications regarding this transition as well as an FAQ. Please refer to this page to find the latest information regarding this change.

We will also be holding a pilot for interested facilities so that participants can test this new process and provide feedback on possible improvements prior to launch. In order to participate, your registry product will have to be compatible with the direct data submission method prior to the official launch in January. If interested in participating in the pilot, please complete the form below and we will notify your vendor of your interest. However, please note that it is entirely up to the discretion of your vendor for how they engage with potential pilot participants.
