The cost to exhibit at this year’s meeting is $2,550. An early bird rate of $2,150 is available until July 25, 2025. A deposit of $1,000 per booth must accompany the application. No applications will be processed without a deposit.

*Exhibitors are not eligible to claim CE/CME for scientific sessions. If you would like to claim CE/CME for the conference, you must also register as an attendee.

Booths must be staffed during exhibit hours. The exhibitor will forfeit any space not occupied by 3:30 pm on Saturday, November 8. Displays may not be dismantled or packing begun before 9:00 am on Monday, November 10.
Full exhibit booth payment must be received by Friday, August 15, 2025. The application must accompany a deposit of $1,000 per booth. No applications will be processed without a deposit.
To be eligible for a refund, the ACS must receive written notification of space cancelation on or before Friday, August 15, 2025. Cancelations will incur a $500 fee.
No refunds will be given after Friday, August 15, 2025.
Electricity, audiovisual, and internet services are available at the exhibitor’s expense. The exhibitor service kit will provide detailed information.
Lead retrieval information will be included in the exhibitor service kit.

Room Rate:
$244 single/double per night plus taxes
To make a reservation by phone, call either hotel and mention TQIP 25 to receive the conference rate, or reserve accommodations online.
Exhibitors are responsible for making their hotel reservations.
Hotel Reservation Deadline:
The hotel reservation deadline for the Hyatt Regency is October 17, 2025, or when the room block fills up, whichever occurs first. Reservations made after October 17, 2025, are subject to availability and rate.
Please note that all reservations will require a credit card for guaranteed arrival. Guests must cancel their rooms 72 hours before check-in to avoid being charged one night’s room and tax.
Hotel Cancelation Policy:
Any guaranteed reservation not canceled more than 72 hours before arrival will be subject to a one-night room and tax cancelation fee. In the event a guest who has requested a room checks out before the reserved checkout date, the hotel will add an early checkout fee equal to one night’s room and tax to that individual’s account. Guests wishing to avoid an early checkout fee should advise the hotel at or before check-in of any change in the planned length of stay.
Upon receipt of Exhibit Space Application, the ACS assumes that you have read the terms outlined below and agree to abide by these terms. Application is subject to acceptance by the TQIP committee. Written confirmation will be sent upon receipt of application and full payment.
