ACS Cancer Conference

Exhibitor Resources

On behalf of the American College of Surgeons Cancer Programs, you are invited to exhibit at the 2024 ACS Cancer Conference: Improving Care for all, a three-day meeting in Austin, TX.

Exhibiting at the 2024 ACS Cancer Conference: Improving Cancer Care for All will expand your market penetration and customer database, providing the opportunity to:

  • Network with more than 600 cancer care professionals
  • Reach new customers while servicing your existing ones
  • Showcase your latest products and services

The deadline to reserve a space is February 2, 2024. 

In-Person Exhibit Fee

$1,800 exhibit fee includes:

  • One 6-foot table
  • Two chairs, one wastebasket, and one identification sign
  • Registration for one representative to attend the February 22-24, 2024 education sessions
  • Breakfast, lunch, coffee breaks, reception (tentative)
  • One-time use of the post conference list for a mailing (promotional piece must be approved by the Cancer Programs)

Exhibitor Representatives

Each exhibiting company is entitled to one (1) complimentary exhibitor registration at no additional charge. Exhibits must be staffed during the exhibit hours. Any space not occupied by 7:00 am on Thursday, February 22, 2024, will be forfeited by the exhibitor. Displays may not be dismantled or any packing begun before 11:45 am on Saturday, February 24, 2024. Additional exhibitor badges can be purchased for $500 each.

Reserve a Table

Please note:

  • No application will be processed without full payment of exhibit fees.
  • Exhibit tables will be preassigned, and spaces will be identified with a table sign prior to set-up.
  • Audiovisual, electrical, and internet services are available at the exhibitor's expense. Information will be provided in the exhibitor service manual
  • Banners must be placed to the right ot left of the table. Banners cannot be placed in front of, behind, or on top of the table.

Past Participant Demographics

COVID-19 Disclosure

In case of cancelation of the ACS Cancer Conference due to high risk of COVID-19 exposure, exhibitors will receive all exhibit space fees paid to ACS Surgeons and Engineers. ACS Cancer Programs is not responsible for any fees paid to third parties.

Exhibitors are responsible for keeping their space sanitized. ACS Cancer Programs will be responsible for sanitizing general areas of the exhibit hall and meeting space.

Cancelations and Refunds

Written notification of a space cancelation must be received by ACS on or before January 26, 2024 to be eligible for a refund. A $500 service charge will be assessed for each canceled space. No refunds will be given after January 26, 2024.

Liability

In the event the exhibition is canceled, postponed, or relocated on account of fire, strikes, government regulations, casualties, Acts of God, or other causes beyond the control of the American College of Surgeons Cancer Programs, the exhibitor waives any and all damages and claim for damages and agrees that the sole liability of ACS Cancer Programs shall be to return each exhibitors the exhibitors's rental payment

FDA Regulations

Exhibitors must abide by all applicable Food & Drug Administration (FDA) regulations, including, but not limited to, any or all approved requirements. Any product that is an investigational device or an investigational drug must be clearly marked as such. Exhibitors must ensure that with respect to all such devices or drugs, only permissible preapproved dissemination of scientific and educational information is provided at the exhibit and that appropriate disclosures and cautionary notices are included with the devices or drugs. All products and services exhibited shall comply with FDA policy and procedures (particularly with respect to the marketing and labeling of investigational drugs and devices) and other applicable policy and procedures. Exhibitors are reminded that the FDA prohibits the advertising or other promotion of investigational or unapproved drugs and devices. The FDA also forbids the promotion of approved drugs or devised for unapproved uses. In addition, under FDA rules, the background of the exhibit must show the generic name of any drug product featured. For additional information, contact the FDA at 888-463-6332 or visit fda.gov.
