Meeting Venue: Negotiating and Contracting—The Essential Things to Know

Meetings are often the “face” of organizations to attendees and, if planned well, can bring much benefit both financially to the organization and value to your members. However, meetings also involve financial risk, especially pertaining to venue contracting. Increased expectations from hotel owners and other stakeholders require meeting planners to have a keen understanding of contract negotiation in order to seek new solutions that add meeting value, provide cost savings, and mitigate risk to their organizations. In this presentation, participants will learn new skills and strategies that will enhance their hotel and contract negotiation and value reporting metrics.

More about Tamara Roberts

Tamara has more than 30 years of experience in the event planning field. Her experience is composed of six years hotel management in sales, catering, and convention services and 25 years in medical association meeting management, including experience in international meeting planning. Previous appointments include Assistant Director and Director of Convention Services respectively at the Westin and Drake Hotels in Chicago, as well as Senior Meetings Manager for the American Society of Plastic Surgeons.

Tamara currently oversees the ACS Meeting Services team, who handle contracting and logistics management of more than 100 meetings annually ranging in size from 10–3,000 people for both ACS and Association Management Services Clients. The team also handles logistical details of the annual ACS Clinical Congress (attendance of 15,000 people).

Tamara graduated summa cum laude with a bachelor’s degree in Communications from Ohio University and received her Meeting Professional Certification in 1992 with recertification completed every 5 years.
