Abstracting Timeliness for Surveys in 2012

The leadership of the Commission on Cancer (CoC) Accreditation and Quality Improvement Committees issued a statement last week clarifying which cases will be reviewed in 2012 surveys for abstracting timeliness (Standard 3.3) and CAP review (Standard 4.6). The adjustment from the usual three years prior to survey was precipitated by delays in finalizing the conversion to version 02.03 of the Collaborative Stage Data Collection System. Those specifications are now in the hands of registry software providers and registry upgrades are currently being distributed to accredited programs.

Thirty cases will be selected for review, as usual. Fifteen will be selected from cases first seen by the facility during 2009, and fifteen will be selected from 2011 cases that were first seen in April or later. The cases selected for review from 2011 will depend on the date of the 2012 survey, as shown in the table below. No 2010 cases will be selected; cases from 2010 had already been exempted from review for these two standards. (See the original CoC Flash announcement here). In addition, no cases with a Date of First Contact during the first quarter of 2011 (January – March) will be selected.

This statement exempts all 2010 cases and cases from the 1st quarter of 2011 from being surveyed for abstracting timeliness. Cases from the 2nd quarter of 2011 and later are expected to be current in abstracting timeliness beginning October 1, 2011. All 2011 cases must be caught up and completed by the time 2011 diagnoses are submitted to the National Cancer Data Base in January of 2013.
